Incumbent serves as Part-Time Deputy for the Owen County Recorder's Office, responsible for recording documents, accounting procedures and preparing reports.

DUTIES:

Records and maintains files of various documents, including but not limited to County land records, deeds, mortgages and other documents.

Performs basic accounting/bookkeeping procedures, including balancing cash receipts and deposits, preparing bank deposits, and reconciling bank statements.

Prepares and prints regular and annual financial reports.

Answers telephone and assists office visitors, responding to inquiries, providing information and assistance, taking messages, and/or directing calls to appropriate individual or department.

Assists the public with research, access, and copies of all public records.

Performs various clerical duties, such as processing incoming/outgoing postal mail. Performs related duties as assigned.

  • JOB REQUIREMENTS AND DIFFICULTY OF WORK:

High school diploma or GED.

Working knowledge of standard practices, policies, and legal requirements of Recorder's office, with ability to properly record and index documents.

Working knowledge of standard office policies and procedures and ability to apply such knowledge to a variety of interrelated processes, tasks, and operations.

Working knowledge of standard English grammar, spelling, and punctuation and ability to prepare correspondence and reports, as required.

Working knowledge of standard bookkeeping practices and principles and ability to count, perform arithmetic calculations, and prepare bank deposits.

Working knowledge of basic filing systems and ability to create and maintain accurate and complete Department files.

Ability to provide public access to, or maintain confidentiality of, department information and records according to state requirements.

Ability to comply with all employer and department policies and work rules, including, but not limited to, attendance, safety, drug-free workplace, and personal conduct.

Ability to effectively communicate orally and in writing with co-workers, other County departments, and the public, including being sensitive to professional ethics, gender, cultural diversities, and disabilities.

Ability to compare or observe similarities and differences between data and compile, collate, or classify data.

Ability to read/interpret detailed prints, legal descriptions, and maps, as required.

Ability to operate standard office equipment, including computer, keyboard, scanner, and copier. Ability to read, understand, memorize, retain and carry out oral and written instructions.

Ability to work rapidly for long periods of time with minimal supervision

II. RESPONSIBILITY :

Incumbent performs a variety of duties according to a flexible, customary routine. Incumbent receives indirect or occasional supervision and decisions are always determined by specific instructions or existing well-established policies and procedures. Errors in incumbent's work are primarily prevented or detected through prior instructions from supervisor or supervisory review. Undetected errors could result in loss of time to correct error.

III. PERSONAL WORK RELATIONSHIPS:

Incumbent maintains frequent contact with co-workers, other County departments, and the public for the purposes of giving and receiving information.

Incumbent reports directly to the Recorder.

IV. PHYSICAL EFFORT AND WORK ENVIRONMENT

Incumbent performs duties in a standard office environment, involving sitting/walking at will, sitting for long periods, handling/grasping/fingering objects, keyboarding, lifting/carrying objects weighing under 25 pounds, close vision, and hearing sounds/communication, and speaking clearly.
